Commercial matcha selection starts with the finished product rather than a supplier’s grade hierarchy. Two powders sold under the same commercial label may perform differently in an oat beverage, biscuit or frozen dessert. Performance must therefore be assessed against the defined sensory, processing, market and cost requirements.
Supplier grade names remain useful for navigating a single product portfolio. They do not establish equivalence across suppliers and should not replace an application brief, controlled trials in the intended formulation and an agreed purchasing specification.
Supplier Grade Names Are Not Cross-Supplier Specifications
ISO 20715 classifies tea types. The published abstract for ISO/TR 21380 describes matcha by its plant source, cultivation and production methods. Neither published scope sets out a cross-supplier grading scale for commercial labels such as “ceremonial grade”, “premium”, “latte grade” or “culinary grade”.
A 2018 JARQ paper by a NARO-led research team analysed 25 powdered green teas collected from the US market in 2014. The products covered a wide price range and differed in measured composition, including products labelled as matcha. The dataset is limited to one market and collection period, but it illustrates why a commercial label cannot serve as a complete purchasing specification.
Within a supplier’s own range, grade names may indicate relative positioning by sensory profile, intended use and price. Cross-supplier comparison requires common acceptance criteria and the same trial protocol.
The Application Brief Before Sample Selection
An application brief aligns the buyer and supplier on the finished product, process conditions and basis for approval. At minimum, it should record:
- Finished product and format — made-to-order latte, RTD beverage, bakery product, chocolate, ice cream, powdered blend or retail tea.
- Product matrix — water, dairy or plant-based ingredients, fat, sugar, cocoa, fruit acids and other components that affect flavour perception or processing.
- Processing and serving conditions — mixing, homogenisation, heating, baking, freezing, hold time, packaging and the stage at which the product will be evaluated.
- Target sensory and visual profile — tea intensity, aroma, bitterness, astringency, umami, sweetness, aftertaste, colour and mouthfeel.
- Destination market — country of sale and the product-specific regulatory, testing and documentation requirements to be assessed.
- Commercial parameters — expected inclusion rate, order pattern, pack format, replenishment frequency and finished-product cost target.
This gives the supplier a basis for shortlisting candidates against the project brief instead of defaulting to the highest grade in its range.
Acceptance Criteria for the Intended Product
Acceptance criteria should reflect the finished product and process. In beverages, relevant criteria may include tea intensity, finished colour, wetting, dispersibility, suspension behaviour, sedimentation and sensory or colour stability over the intended hold time. Matcha is a dispersed leaf powder rather than a soluble tea extract, so complete dissolution is not an appropriate universal acceptance criterion.
For bakery applications, candidates should be compared in the same recipe, with both the batter or dough and the baked product evaluated. Colour, flavour and texture need to be recorded under the actual process conditions. Published formulation studies can identify variables worth testing, but they do not establish a universally applicable formula or inclusion rate.
For ice cream and gelato, assessment should continue through freezing, storage and evaluation at the intended serving temperature. A dry-powder assessment or standardised water preparation provides a useful reference but does not predict performance in a high-fat, high-sugar frozen matrix.
Evaluation in the Finished Formula
Assign each candidate a blind code. Test all candidates in the same formula at the same inclusion rate, using the same equipment, process conditions and evaluation times. Record the results on a standard evaluation sheet shared by procurement, R&D and quality.
The first-round record should identify the powder and lot, formula version, inclusion rate, process conditions, immediate sensory and colour observations, application-relevant physical behaviour and results after the intended hold, storage or service interval. Material operational observations from the trial should also be recorded.
After the first round has identified candidates that meet the core criteria, a second round may adjust the inclusion rate or formulation. Changing several ingredients and process settings during the initial comparison makes it difficult to attribute the result to the matcha.
From Approved Sample to Purchasing Specification
Once a candidate has passed the application trial, it should be linked to an incoming-material specification used for purchasing and receipt. As applicable to the project, the specification should identify the material, target sensory profile, agreed analytical and microbiological criteria, test methods, units, limits, pack format, storage conditions and lot identification.
Codex CXC 1-1969 states that incoming food ingredients should be procured according to specifications and that compliance with food-safety and suitability specifications should be verified where necessary. It does not define a matcha product specification; project-relevant requirements must be agreed between the buyer and supplier.
The destination market also needs to be recorded in the brief. Applicable legal limits, import controls and documentation are product- and market-specific and should be verified separately before commercial approval.
Finished-Product Cost at the Validated Inclusion Rate
Candidates should be compared at the inclusion rate required to meet the target profile. The relevant comparison is the matcha cost per unit of finished product, not the powder price per kilogram in isolation.
Reference Sample and First Commercial Lot Control
Final approval should link the reference sample or lot to the tested formula, trial conditions and purchasing specification. The reference record should include a version and date, while the retained sample should be held under controlled storage conditions. The approval process should also define how the first commercial lot will be compared with that reference and when a change in material, process, test method or finished product requires re-evaluation.
